Outreach Sequences & Multi-Mailbox Rotation

A sequence is a multi-step email campaign that contacts are enrolled into. Sequences live under Outreach → Sequences and send through the mailboxes you connect under Settings → Mailboxes.

Creating a sequence

• Name and goal — free-text description of what the sequence is for.
• Outreach objective (required) — one of Sales, Link building, Guest posting, Partnerships / affiliates, PR / press, or Other. The autopilot and ICP generator use this to build the right prospect profile and messaging hints.
• Status — draft, active, paused, or archived. Only active sequences send.
• Sending mailbox plus an optional mailbox pool and rotation strategy.
• Auto-approve — when off, generated messages wait in Outreach → Approvals until a human approves them.
• Unsubscribe URL and text appended to outgoing messages.

Connecting mailboxes

Settings → Mailboxes has two tabs: Mailboxes for sending/receiving accounts and Sending Domain for domain verification. Mailboxes are shared infrastructure — the same connected mailbox can be used by Outreach sequences and by Email Marketing campaigns.

Supported providers are Gmail (via OAuth), SMTP, IMAP, Smartlead, Instantly, Outlook, and Resend. For each mailbox you set a display name, a daily limit (default 50; 0 means unlimited), whether it is the website default, whether warmup is enabled, and how replies arrive: IMAP polling, Resend inbound, manual forwarding, or none. Mailbox status is one of active, paused, warming, disconnected, or error. Each website can have one default mailbox, and an address can only be connected once per website.

How rotation works

Add extra mailboxes to a sequence's pool to spread volume across several senders:

• Round robin — cycles through the pool so each mailbox takes a turn.
• Least used — picks the mailbox that has sent the fewest messages so far.

Before every send, ScaleBlogger counts what each mailbox has already sent today and skips any mailbox that has hit its daily limit; a limit of 0 is treated as unlimited. If every mailbox in the pool is exhausted, remaining sends roll over to the next run instead of exceeding your limits.

Email Marketing campaigns support the same model: a campaign can pin one mailbox or rotate across a list, using round-robin or least-used, and every send records which mailbox it used.

Mailbox warmup

Warmup gradually ramps a new mailbox's volume to build sender reputation. When warmup is enabled, each cycle tops up the day's quota by either delegating to the provider's native warmup (Smartlead or Instantly), exchanging reciprocal emails between two warming mailboxes, or sending to a configured seed list. The ramp advances by calendar day and completes automatically, and every warmup email is logged.

Deliverability

Outreach → Deliverability tracks a 0–100 health score per mailbox. The score penalises bounce, spam-complaint, and unsubscribe rates, rewards healthy engagement, and is docked further for failing SPF, DKIM, or DMARC checks and for blocklist hits. A mailbox with no recent sends is treated as neutral-healthy.
